As part of the application procedure, you will be asked to provide a list of documents. This list is tailored to your profile and your individual course of study.
There are two types of application:
- The enrolment application is for students who are European nationals and hold a Belgian diploma
- The admission application is for students who are foreign nationals and/or hold a non-Belgian diploma. The documents required for an admission application may vary depending on the programme in question.
- Incomplete applications will not be considered.
- Documents submitted after the deadline (15 calendar days from the request) will not be accepted.
- Pay attention to the quality of documents:
- For each document, you must submit a legible digital copy of impeccable quality.
- Avoid smartphone photographs and screenshots.
- Throughout the application process, you may be asked to provide all of the following documents in original.
Please note that UCLouvain reserves the right to verify any documents you attach to your application for enrolment with the issuing institution. If no response is received from the institution, your application will be closed.
General cases
To confirm your enrolment application, you must provide the following documents:
- copy of both sides of an identity document (ID card or passport);
- copy of the certificate of upper secondary education or equivalent qualification.
If you have undertaken other studies or activities after your secondary education, please add:
- copy(ies) of diploma(s)/qualification(s) obtained after your secondary education;
- certificate of debt-free status issued by the higher education institution you attended;
- post-dated proof of completed studies (with results and/or credits obtained) or experience (with start and end dates) during the five years preceding the enrolment application;
- in the case of professional experience or periods of registration as a jobseeker, the certificate from the employer (excluding employment contracts) or the organisation concerned (Forem, Actiris, etc.) must specify the duration concerned;
- a sworn declaration may also be requested (document only available in french).
Specific cases
- For enrolment applications in engineering: a copy of the certificate of passing the entrance exam.
- For enrolment applications in veterinary medicine, physiotherapy and rehabilitation, psychological and educational sciences (speech therapy), medicine and dentistry: a supplementary application dossier.
Please note that UCLouvain reserves the right to verify any documents you attach to your application for enrolment with the issuing institution. If no response is received from the institution, your application will be closed.
Bachelor
To validate your admission application, you must provide the following documents:
- recent photo ID (digitised);
- recent certificate of nationality or a copy of your identity document (identity card or passport);
- secondary school diploma and transcript of final year marks, or a certificate of passing the bachelor’s course entrance exam;
- copy of both sides of the equivalency decision issued by the Ministry of the Wallonia-Brussels Federation, if you hold a foreign bachelor’s diploma (except for the International Baccalaureat and European Baccalaureat);
- certificate of passing the engineering entrance exam or medicine or dentistry competitive entrance exam, if you wish to apply for admission to one of these programmes;
- copies of transcripts and any higher education diplomas and a copy of the attestation certifying the number of credits obtained (if this system is in force at your home institution)— even for any failed years;
- post-dated certificate for each period not covered by academic enrolment in the five years preceding the application; all activities must be supported by a valid document:
- various activities undertaken (work, unemployment, language course, travel, etc.)
- For example: certificate of employment (not a contract of employment) from your employer, certificate from a social security organisation, certificate of enrolment for a training course, medical certificate, passport stamps, etc., indicating the dates covering the period(s) of activity;
- Notes:
- All months from September to February must be substantiated.
- A sworn statement will only be accepted if the student is unable to provide any other supporting evidence.
- The following are not accepted: employment contracts, flight tickets, visas, certificates not backdated, etc.
- a certificate of debt-free status issued by any higher education establishment in the Wallonia-Brussels Federation that you may have attended;
- proof of Belgian student status, if applicable.
- For foreign qualifications from outside the European Union, the final equivalence decision and/or the certificate of successful completion of the DAES must be sent when the application is submitted, failing which the application will be refused.
- For applications to Bachelor’s degree programmes in Medicine, Dental Sciences and Pharmaceutical Sciences: a certificate confirming that you did not sit the entrance examination or that you were not ranked in the eligible list, issued by your institution if you completed a LAS in France.
- For applications to the Bachelor’s degree in Physiotherapy: a certificate confirming that you did not sit the entrance exam or that you were not ranked in the required order, issued by your institution if you have completed a LAS, an STAPS or a Bachelor’s degree in Biology in France
Master
To validate your admission application, you must provide the following documents:
- recent photo ID (digitised);
- recent certificate of nationality or a copy of your identity document (identity card or passport);
- copies of all diplomas* and transcripts of all relevant terms*, together with a statement certifying the total number of credits for the course taken and the number of credits passed (if this grading system is in force at your home institution), including—mandatorily—the results of any failed year(s);
- attestation, certificate or diploma attesting to your knowledge of the French language (DELF, DALF, TCF or other official attestations) if your studies were not conducted in French (this document is not necessary if the programme to which you are applying is conducted entirely in English, if you are a Europhilo student or a dual degree student) or any other knowledge test result (see special cases below);
- post-dated certificate for each period not covered by academic enrolment in the five years preceding the application; all activities must be supported by a valid document:
- various activities undertaken (work, unemployment, language course, travel, etc.)
- For example: certificate of employment (not a contract of employment) from your employer, certificate from a social security organisation, certificate of enrolment for a training course, medical certificate, passport stamps, etc., indicating the dates covering the period(s) of activity;
- Notes:
- All months from September to February must be substantiated.
- A sworn statement will only be accepted if the student is unable to provide any other supporting evidence.
- The following are not accepted: employment contracts, flight tickets, visas, certificates not backdated, etc.
- detailed, dated and signed curriculum vitae;
- motivation letter, in which you specify your choice of subject or specialization (this document is optional for Erasmus Mundus applicants);
- if you attended a higher education institution in the French Community of Belgium (university, haute-école, etc.) from the 2014-15 academic year: a debt-free certificate issued by this institution;
- proof of Belgian student status, if applicable.
Additional documents required for certain programmes:
- 120-credit master’s course (“Master 120”) in management sciences or management engineering:
- proof* of passing one of the following two standardised tests: GMAT or TageMage (exception: CEMS and dual diploma partners) and a certificate* of passing the TOEFL test or the IELTS test if your previous studies were not in English;
- this does not apply to non-EU applicants who hold a qualification issued by the French-speaking Community of Belgium conferring eligibility for these two courses.
- 120-credit master’s course (“Master 120”) in architecture (in Tournai or Brussels Saint-Gilles): a portfolio of work produced in their home institute of architecture (or engineering school).
- Master's course in modern languages and literature, French and other Romance languages and literature, ancient and modern languages and literature, multilingual communication, linguistics, translation or interpreting:
- details of the chosen language combination (except for ancient and modern languages and literature);
- official attestation of the level achieved in these two languages (only French for ancient and modern languages and literature).
* If you do not yet have all of these documents, you can already send us what you do have.
CAPAES and university certificate
Required documents:
- recent digital photograph;
- recent certificate of nationality or a photocopy of your passport or national identity card;
- copies of all diplomas* and transcripts* for all relevant terms, certifying the total number of credits for the course taken and the number of credits passed (if this grading system is in force at your home institution), including—mandatorily—the results of any failed year(s);
- post-dated certificate for each period not covered by an academic registration—no period during the five years preceding enrolment may remain unjustified:
- various activities undertaken (work, unemployment, language course, travel, etc.)
- For example: certificate of employment (not a contract of employment) from your employer, certificate from a social security organisation, certificate of enrolment for a training course, medical certificate, passport stamps, etc., indicating the dates covering the period(s) of activity;
- Notes:
- All months from September to February must be substantiated.
- A sworn statement will only be accepted if the student is unable to provide any other supporting evidence.
- The following are not accepted: employment contracts, flight tickets, visas, certificates not backdated, etc.
- if you attended a higher education institution in the French Community of Belgium (university, haute-école, etc.) from the 2016-17 academic year: a debt-free certificate issued by this institution;
- detailed, dated and signed curriculum vitae;
- motivation letter;
- attestation, certificate or diploma attesting to your knowledge of the French language (DELF, DALF, TCF or other official attestations) if your studies were not conducted in French (this document is not necessary if the programme to which you are applying is conducted entirely in English);

Specialised master
Please read our general and specific eligibility requirements before sending your admission application dossier.
- recent digital photograph;
- recent certificate of nationality or a photocopy of your passport or national identity card;
- copies of all diplomas* and transcripts* for all relevant terms, certifying the total number of credits for the course taken and the number of credits passed (if this grading system is in force at your home institution), including—mandatorily—the results of any failed year(s);
- attestation, certificate or diploma attesting to your knowledge of the French language* (DELF, DALF, TCF or other official attestations) if your studies were not conducted in French (this document is not necessary if the programme to which you are applying is conducted entirely in English);
- post-dated certificate for each period not covered by an academic registration—no period during the five years preceding enrolment may remain unjustified:
- various activities undertaken (work, unemployment, language course, travel, etc.)
- For example: certificate of employment (not a contract of employment) from your employer, certificate from a social security organisation, certificate of enrolment for a training course, medical certificate, passport stamps, etc., indicating the dates covering the period(s) of activity;
- Notes:
- All months from September to February must be substantiated.
- A sworn statement will only be accepted if the student is unable to provide any other supporting evidence.
- The following are not accepted: employment contracts, flight tickets, visas, certificates not backdated, etc.
- detailed, dated and signed curriculum vitae;
- letter of motivation setting out the elements of your education that relate to the subject of your chosen specialised master's course (dissertation subject, work placement, publications, seminars, etc.);
- if you attended a higher education institution in the French Community of Belgium (university, haute-école, etc.) from the 2016-17 academic year: a debt-free certificate issued by this institution;
- certain cases: candidates wishing to take a specialised master's course in medicine or dentistry must also produce, at the time of enrolment, a selection certificate from MSCM, Avenue Mounier 50 bte B1.50.05, 1200 Woluwe-Saint-Lambert, a letter of appointment, recognition of their medical diploma and a visa for their medical diploma from the Belgian Federal Public Service for Health, Food Chain Safety and Environment.

PhD
Please read our general and specific eligibility requirements before sending your admission application dossier.
Important: application for admission to a PhD programme must be preceded by a search for a supervisor. It must also be accompanied by the submission of a dossier to the relevant PhD committee. Further information is available at: Valo Doc Louvain and application procedures.

- recent certificate of nationality or a photocopy of your passport or national identity card;
- copies of all diplomas* and transcripts* for all relevant terms, certifying the total number of credits for the course taken and the number of credits passed (if this grading system is in force at your home institution), including—mandatorily—the results of any failed year(s);
- post-dated certificate for each period not covered by an academic registration—no period during the five years preceding enrolment may remain unjustified:
- various activities undertaken (work, unemployment, language course, travel, etc.)
- For example: certificate of employment (not a contract of employment) from your employer, certificate from a social security organisation, certificate of enrolment for a training course, medical certificate, passport stamps, etc., indicating the dates covering the period(s) of activity;
- Notes:
- All months from September to February must be substantiated.
- A sworn statement will only be accepted if the student is unable to provide any other supporting evidence.
- The following are not accepted: employment contracts, flight tickets, visas, certificates not backdated, etc.
- detailed, dated and signed curriculum vitae;
- a summary of your thesis project;
- if you attended a higher education institution in the French Community of Belgium (university, haute-école, etc.) from the 2016-17 academic year: a debt-free certificate issued by this institution.
* If you do not yet have all of these documents, you can already send us what you do have.
Specialist medical training certificates (MSP 9CE or MSC 9CE)
Documents to be provided by all applicants:
- A copy of the favourable opinion issued by the internship supervisor (Further information: medecinsboursiers-mede@uclouvain.be ).
- Proof of sufficient knowledge of the English language if your postgraduate studies were conducted in a language other than English.
- A recent passport photo (scanned)
- A recent certificate of nationality or a copy of your identity document (identity card or passport).
- Copies of all diplomas* and transcripts for all semesters* as well as a certificate attesting to the total number of credits for the programme completed and the number of credits earned (if this grading system is in effect at your home institution). Results for any failed years must be provided.
- A post-dated certificate for each period not covered by academic enrolment for the 5 years preceding the application. All activities must be justified by a valid document.
- various activities undertaken (work, unemployment, language course, travel, etc.)
- For example: certificate of employment (not a contract of employment) from your employer, certificate from a social security organisation, certificate of enrolment for a training course, medical certificate, passport stamps, etc., indicating the dates covering the period(s) of activity;
- Notes:
- All months from September to February must be substantiated.
- A sworn statement will only be accepted if the student is unable to provide any other supporting evidence.
- The following are not accepted: employment contracts, flight tickets, visas, certificates not backdated, etc.
- A detailed, dated and signed curriculum vitae.
- A cover letter.
- If you attended a higher education institution in the French Community of Belgium (university, college, etc.) from the 2014-2015 academic year onwards: a certificate of no outstanding debts issued by that institution.
- Proof of assimilation, if applicable.
Additional document for candidates who hold a medical degree from a European Union country:
- Recognition of your medical degree (ministerial visa and royal decree). More information.
Additional document for candidates who hold a medical degree from a country outside the European Union:
- Article 146, special exemption relating to the practice of healthcare professions, for the practice of certain medical procedures
- The procedure for obtaining Article 146 will be communicated to you by the MSCM (medecinsboursiers-mede@uclouvain.be )
- This document can be provided after you have submitted your registration application to the Registration Department.
What happens next with my application?
Once you have submitted your application, you will receive an acknowledgement of receipt. You can then track the progress of your application from your online account.
Please note that it may take several weeks for your application to be processed.
What should I do if I don’t have certain documents?
If you do not have certain documents when you submit your application, you can provide:
- provisional CESS certificate (pending the final version)
- provisional transcript of marks (pending final transcript of marks)
certificate of enrolment for the current academic year (pending a final transcript or diploma)
- proof of equivalency application (pending provisional or final equivalency decision)
- etc.
In any event, you must send us all the documents in your possession.
As a last resort, it is possible to provide a declaration on honour (document available in French only) to justify a year for which no proof exists. The Enrolment Department reserves the right to accept or reject this declaration. This document can never replace a transcript of marks, a diploma or any other document attesting to academic activity.
Are translations of foreign-language documents required?
If your documents were issued abroad, you must always submit copies of your foreign-issued (non-Belgian) documents accompanied by a translation by a sworn translator, except for the following languages:
- French
- Dutch
- English
- German
- Italian
- Spanish
- Portuguese
