Application

Once you receive an e-mail confirming your nomination, you should then gather the following documents for your application: 

1. Upload and fill in our EPL ADMISSION FORM 2024-2025 (document to be completed and signed digitally by you and your home institution, you may use the "fill in and sign" tool in Acrobat Reader)
2. A photocopy of identity card (for Europeans) and/or passport (for non-Europeans) (properly scanned),
3. An ECTS Learning Agreement signed by you and the academic coordinator of your home institution. Please use the UCL ECTS Learning Agreement template unless your home institution's Learning Agreement is mandatory.
   Note that the person at EPL who will sign your Learning Agreement will be your EPL academic supervisor and not the EPL International mobility coordinator.
   IMPORTANT: Please read carefully all the rules mentioned here to create your Learning Agreement.
   NB: The Louvain School of Engineering (EPL) do not use the OLA platform to manage incoming students. However, for your Learning Agreement, you can use the platform, download a pdf version of the Learning Agreement you have created in OLA (which has been signed by yourself and your home university) and send it by email. The EPL International mobility coordinator will approve it on the OLA platform on the basis of this Learning Agreement, which will have been signed by your EPL academic supervisor, after submission of your complete application file.
4. An official transcript of records of all previous years in higher education (bachelor / undergraduate and master) in English or in French.
   NB: To be official, the document must include an identification code which allows the authenticity of the document to be verified OR the signature and stamp of your home university.
5. A language proficiency certificate for French and/or English (see requirements)
6. Complete and sign the “Regulations and data protection form”

Important :
Please do not merge these 6 documents.
They must be in pdf format.
Please rename your documents as follows:
- SURNAME First name_EPL Admission Form
- SURNAME First name_IDCard or SURNAME First name_Passport
- SURNAME First name_Learning Agreement
- SURNAME First name_TOR
- SURNAME First name_English certificate and/or SURNAME First name_French certificate
- SURNAME First name_Regulations and data protection form

Information regarding the completion of your Learning Agreement

• Please use the UCL ECTS Learning Agreement template unless your institution's Learning Agreement is mandatory.
• Start and end dates of each semester:
  Autumn semester = from 14 September to 31 January
  Spring semester = from 01 February to 30 June
  Academic year = from 14 September to 30 June
• Data of the Receiving institution:

• Responsible person at the Receiving Institution (who will sign your Learning Agreement) is your EPL academic responsible (not the EPL international mobility coordinator). Note that Sandrine Matthieu will complete the EPL academic supervisor's name.

When do you have to send us your complete application?

You must submit your COMPLETE and COMPLIANT application by email to epl-exchange@uclouvain.be before the following deadline:

Note that the final decision regarding the acceptance of exchange students will by made by Louvain School of Engineering, after a full review of the application files by the EPL academic supervisors.
This means that you will only get your admission authorization once your EPL academic supervisor has approved your complete application file.

Finally, if the exchange period is linked to a Master final thesis, please read carefully the specific rules on the webpage "Master thesis at EPL".

What happens after you submit your application?

You will not receive an automatic email confirming receipt of your application email.
The EPL international mobility coordinator will reply to your email once she has checked all the documents included in your application file. Be patient.
For information, it takes up to 4 weeks to process each complete and compliant application file. If your proposition of Learning Agreement is refused, it might take longer.
