Individual registration procedure - for nationals of countries outside the Schengen Area [European Union + Iceland, Liechtenstein, Norway and Switzerland] - for degree programmes (degree certificates) and short continuing education programmes (certificates of completion) - Participants not entering Belgian territory (online programmes or programmes delivered in other countries) are excluded from this individual procedure. These participants only need to attach a valid ID document to the UCLouvain registration form.

Only persons whose application to a degree programme or a short continuing education programme has been accepted will carry out the registration procedure at UCLouvain, according to the scenario which corresponds to their personal situation. The various scenarios fit into three main categories.
! Important! Registration forms submitted without following the below guidelines will not be considered.   

I. You have a valid visa or residence permit

 
Scenario 1

You already have a visa or residence permit. Its validity covers the full academic year or, for shorter programmes, the entire duration of the programme, including the final assessment.

> Fill in the UCLouvain registration form and attach a copy of your visa or residence permit.

II. Your personal situation does not require you to have a visa or residence permit

 
Scenario 2

! Important ! This scenario only involves programmes with a duration no longer than three months, including the final assessment.

You are a national of a country featured on the “Common list of third countries whose nationals are exempted from visa obligations by Member States applying the Schengen acquis in full”, which can be consulted at the following address https://sif-gid.ibz.be/FR/sans_obligat_type_c.aspx

> Fill in the UCLouvain registration form and attach a copy of your passport (biometric passport for some countries) with an expiry date later than the end of the programme, including the final assessment.

 

Scenario 3

You are a long-term resident or have permanent leave to remain in Belgium.

> Fill in the UCLouvain registration form and attach a copy of your “long-term resident” card (Card D) or CIRE – permanent stay (Card B) or your foreign nationals’ identity card - permanent stay (Card C).
 
Scenario 4

You are an asylum seeker, refugee, stateless person or have subsidiary protection status.

> Fill in the UCLouvain registration form and attach:

  • Asylum seeker: a copy of Annex 26.
  • Refugee: a copy of your refugee card, a recent family composition form or a recent residence certificate and a birth certificate.
  • Stateless person: an official document from the municipality or the Immigration office proving your stateless status.
  • Under subsidiary protection: a certificate of registration on the register of foreign nationals for a limited duration of one year renewable, a decision of the Immigration office confirming the subsidiary protection situation, a residence permit of at least one year.

 

Scenario 5

You are supported by the CPAS (Belgian Public Centre for Social Welfare), a CPAS home or have been identified by the CPAS.
 

> Fill in the UCLouvain registration form and attach a recent CPAS certificate.

 

Scenario 6

You have a residence permit of more than 3 months and you have professional or alternative income.

> Fill in the UCLouvain registration form and attach:

  • A recent family composition form or a recent residence certificate.
  • Six salary statements from the 12 months preceding the registration providing that your pay corresponds to half the average monthly minimum gross salary guaranteed by the CNT (Belgian National Labour Council).
  • Proof that you are receiving alternative income: unemployment, pension, insurance, etc. at the time of registration.
  • A recent copy of your ID card.
 
Scenario 7

You father, mother, legal guardian, spouse or legal cohabitant has the nationality of a Member State in the Schengen Area [European Union + Iceland, Liechtenstein, Norway and Switzerland] or fits into scenario 3, 4, 5 or 6.
 

> Fill in the UCLouvain registration form and attach a copy of your valid ID card (Card F or Card F+) accompanied by an official certificate proving the relationship (birth certification + family composition form, if the student does not live at the parent's address), the guardianship (guardianship judgement), the marriage (extract of official marriage certificate + family composition form) or the legal cohabitation (recent certificate issued by the municipal administrative office) and the documents requested for the student, depending on the person in question.

 

Scenario 8

You are a long-term resident in a country in the Schengen Area [European Union + Iceland, Liechtenstein, Norway and Switzerland] other than Belgium.
 

> Fill in the UCLouvain registration form and attach a copy of your long term residence permit from the relevant country in the Schengen Area [European Union + Iceland, Liechtenstein, Norway and Switzerland].

III. Your personal situation requires you to have a visa or residence permit

 
Scenario 9

You do not fit into any of the above scenarios.
 

> You must make a visa request based on the confirmation of your application. No other document will be issued by UCLouvain.

Your visa must cover the full academic year or, for shorter programmes, the entire duration of the programme, including the final assessment.
There are two types of visa:

  • The short stay visa, often called the “Schengen visa”, which authorises you to enter Belgium and travel within Belgium and other countries in the Schengen Area. This visa has a maximum validity of 90 days over a 6 month period.  If you want to take a short course programme, this is the visa you need to request.
  • The long stay visa (stay between 4 months and 1 year). To enter and stay in Belgium for longer than 3 months, a foreign national must have a long stay visa (type D). This is issued for study reasons, among other things. Please be aware that this type of visa is rarely granted for continuing education programmes.

Pending receipt of these documents, you will be placed on a waiting list, as long as you confirm that you are undertaking a procedure to obtain a visa. Your place is guaranteed up to six weeks before the start of the programme. By that time, you must have sent in your UCLouvain registration form and a copy of your short or long stay visa depending on the programme in question and you must have paid the registration fee for the programme. After this time, you will remain on the waiting list, but your place will no longer be guaranteed.
