Orientation Day

An information session for newcomers is organized at the start of each semester (Friday prior to the first week of classes). Please see the academic calendar for the exact dates.

A lot of important information concerning the functioning of the university will be given. A visit of the campus is also planned as well as a multicultural workshop to help you take the most out of your exchange period.

Attendance is mandatory.

Administrative Formalities

Registration to UCLouvain and to classes

Students will automatically be enrolled to UCLouvain by the International Relations Office and to the classes listed on their Learning Agreement.

Exchange students have three weeks after the start of the semester to try out classes and amend their Learning Agreement if needed.

Registration with the Town Hall

Who must register ?

All students, European or non-European, are invited to register with the local authorities in their place of residence shortly after arriving in Belgium, in order to obtain a residence permit for the duration of their studies.

When do students need to register?

The procedure is rather long (6 to 7 weeks). We advise that you book the appointment a couple of weeks before your arrival to avoid wasting time.

Where to register ?

The procedure varies from one municipality to another. Please check with the local authority in your place of residence. You can find the list of the municipalities and their contact here.

Procedure

  1. Contact (via email or online) the local administration to make an appointment and to know the list of documents you will have to bring.
  2. Go to the city hall with your documents.
  3. A police officer will visit your place to check if you live at the address referenced to the administration.
  4. You will then have another appointment at the city hall to finalize the paperwork.
  5. Remember to cancel your residence permit with the city hall before you leave.
