How do I change my enrolment and what are the deadlines ?

There are several ways for students to change their enrolment, each of which has a specific time frame.
Below, the Enrolment Office will explain the procedure to follow, if :

You wish to modify your enrolment?

You wish to make a reorientation during the academic year?

You wish to add or delete a program?

You wish to withdraw from UCLouvain ?

What are the procedures for changing an enrolment?

Once you have enroled, there are several ways to make changes. You can :

Students who wish to remain enroled at UCLouvain but who wish to submit a request for modification of enrolment to add or delete a program, are requested to complete the following form as explicitly as possible. This demand must be done by October 31 at the latest.

BEWARE : Students who want to modify their study orientation, wich are one of the below profiles, must do the enrolment process through a new online application following the official enrolment calendar and not by the re-enrolement process explained  above :

  • students of a nationality outside the European Union or
  • students who are EU nationals but have a non-Belgian access degree

Information for specific bachelor’s degrees

Some programmes have specific conditions. It is therefore only possible to change your registration for one of these programmes if ALL the access conditions are met. You will find below a list of the programmes concerned :

  • Admissions exam: First enrolment in a bachelor’s degree in engineering concentrating on either civil engineering or architectural engineering
  • Limited enrolment (KINE, VETE, LOGO, MD, DENT): First enrolment in a bachelor’s degree in physiotherapy and rehabilitation, veterinary medicine, psychology and educational sciences, speech therapy, medicine and dentistry
  • Entrance exam: First enrolment in a bachelor’s degree in medicine or dentistry

Note: students who wish to withdraw from UCLouvain must follow another procedure.

What are the procedures to modify an enrolment (reorientation)?

The procedures for applying for reorientation vary according to the date of application and the student's home institution, there are two timeframes to remember :

  • Requests made by 31 October at the latest
  • Requests made between 1 November and 15 February (Only students enrolled in the first year of a first cycle in a university, a university college or a college of arts of the French-speaking Community of Belgium can submit a request for reorientation during this timeframe)

What is the procedure for an internal reorientation at UCLouvain prior to 31 October ?

This reorientation request is similar to a change request. This is the reason why these students submit their request via an online form available on the intranet.

What is the reorientation's procedure from an external higher education establishment towards UCLouvain prior to 31 October ?

Students enrolled at an external higher education institution usually cancel their registration with that institution and then submit an online application

Procedures to modify an enrolment between 1st November to 15 February

ATTENTION: Only students enrolled in the first year of a first cycle in a university, a university college or a college of arts of the French-speaking Community of Belgium can submit a request for reorientation between 1 November and 15 February.
There are three possible situations :

What is the procedure for an internal reorientation at UCLouvain between 1 Novembrer and 15 February ?

This reorientation request is similar to a change request. This is the reason why these students submit their request via an online form available on the intranet.

What is the reorientation's procedure from an external higher education institution towards UCLouvain between 1 November and 15 February ?

Even though the online application has automatically switched to the next academic year since the 1st of november, Students enrolled in the first year of the first cycle in an external higher education institution in the French Community of Belgium who wish to reorient themselves at UCLouvain may still submit their online application.

In order to do so, you have to chose "yes" at the question: "Are you currently registered for the academic year 2021-2022 for the first year of a Bachelors Degree in a French-speaking Community of Belgium university or university college? If so, do you wish to change your study programme this academic year at UCLouvain?".

After confirmation, and if you meet all the conditions, the UCLouvain will inform the higher education institution that you have left by sending them a copy of the reorientation form duly completed and signed.

What is the reorientation's procedure from UCLouvain towards an external higher education institution between 1 November and 15 February ?

Students enroled at UCLouvain wishing to reorient themselves in another higher education institution of the French Community of Belgium submit their request for reorientation to the latter establishment which will inform UCLouvain of the follow-up  by sending him a copy of the reorientation form duly completed and signed, for useful follow-up.

How do I withdraw from UCLouvain?

Depending on the time of year, the procedures and implications of withdrawal may vary. The Enrolment Service invites you to take note of the existing situations :

Cancellation of provisional enrolment by the student before 31 October

Any student, who has not yet paid the enrolment fee due, is provisionally registered.
If the student refuses to continue their studies at UCLouvain, he must notify the Enrolment Office in writing by 31 October of the academic year of registration at the latest.

In order to do so, the student must flll this form and send it back to the Enrolment Office by e-mail.
In this case, no enrolment fee is due and the year does not count in the student's higher education career.

UClouvain cancellation of provisional enrolment on 31 October

This provisional enrolment will be automatically canceled by the Enrolment Office if the enrolment fees due are not paid by the student as of 31 October of the academic year of registration.

In this case, no enrolment fee is due and the year does not count in the student's higher education career.

Student cancellation of provisional enrolment before 30 November

Any student who has paid the enrolment fees due is regularly registered.
If the student refuses to continue their studies at UCLouvain, they must notify the Enrolment Office in writing by 30 November of the academic year of registration at the latest.

In order to do so, the student must fill this form and send it back to the Enrolment Office by e-mail.
In this case, only 50€ of the enrolment fees are due and the year does not count in the student's higher education career.

Fees that are not refunded include those related to:

  • sport activities;
  • Solidarity Card;
  • integratio weekend (UCLouvain Mons).

Withdrawal by the student from 1 December onwards

Cancellation requests submitted on or after 1 December of the year of registration will not be considered and enrolment will remain active.
A student can request a withdrawal of studies in order to, for example, register as a job seeker.

In order to do so, the student must fill this form and send it back to the Enrolment Office by e-mail.
Tuition fees must be paid to the university and the year counts in the student’s higher education career.

Fees that are not refunded include those related to:

  • sport activities;
  • Solidarity Card;
  • Welcome week-end (UCLouvain Mons).

Forced deregistration for non-payment by UCLouvain on 1 February

On the absence of the collection of all enrolment fees due on 1 February of the academic year of registration, the Enrolment Office will be obliged to proceed automatically with the deregistration of the regular enrolment  taken by the student for the academic year in progress.

The enrolment fees required remain due to the University and the year counts in the student's higher education career.

Fees that are not refunded include those related to:

  • sport activities;
  • Solidarity Card;
  • Welcome week-end (UCLouvain Mons)
