Programme creation/modification/deletion process

  • The process of managing modifications to course offerings is initiated in the faculty when programme commissions consider the changes to be made in the courses they manage. QOPA has a supporting role in understanding the guidelines and procedures that govern these changes. Pedagogical support can also be provided by the Louvain Learning Lab (LLL).
  • Modifications are validated by the faculty via their management bodies (Bureau, Council).
  • They are then submitted to QOPA in November. QOPA analyses them in detail, consulting with other services/persons if necessary if certain modifications raise specific questions. QOPA’s role is to ensure that programme creations/modifications/deletions are properly inserted in the course catalogue (via the OSIS application) and comply with regulatory aspects relating to the “Landscape” Decree and UCLouvain provisions.
  • Requests for simplified accreditation, language derogation or course title change are prepared by the faculties and QOPA and submitted to ARES by the authorities in early December.
  • Modifications requiring an increase in the resources allocated to the faculty are submitted to the arbitration committee (consultation of the education pro-rector, VRPP, VR sectors, ADMG).
  • The modifications are then submitted to the Programme Academic Quality Group (QAP) for its opinion and to answer fundamental questions on themes related to the evolution of the course offering.
  • They are then submitted to the Education and Training Council (CEFO) and the Academic Council (Cac) for validation, and finally submitted to the Board of Governors (CA) for informational purposes.
  • The course catalogue, published provisionally in early March, becomes official on 1 June (after CEFO and Cac validation).
  • The final course programmes are sent to ARES on 1 June.
  • The validated modifications come into force for students starting with the following academic year’s course.

In parallel with the recurrent process, transversal projects are implemented to improve the process, tools, visibility and content of course programmes.

Management of changes to continuing education programme offer

The internal accreditation process (approval) is carried out jointly by the faculties and the Continuing Education Council (COFC) through the latter’s Bureau. The quality of the projects and their convergence with the institution's continuing education policy are thus at the heart of the process of creating and sustaining the continuing education offer.

In order for a continuing education programme to be recognised as an official part of the UCLouvain course offer, it must comply with a set of criteria that fall into three categories: internal policy criteria, quality criteria and legal and institutional constraints.

Approval is granted for three editions for a new programme and five editions for a repeat edition. At the end of this period, the accreditation lapses and the application for accreditation must be renewed.
