Where can I find the timetables and premises for the exams?
The exam timetable can be found on the website of your faculty.
However, please consult it regularly, as it may be modified in the event of force majeure. This also applies to students who will be taking a distance examination in a room set up by UCLouvain.
Are there any documents to have on hand for the face-to-face examinations?
It is important to always have your identity card and your student card on hand (and in case of an exam in a computer room: your UCLouvain global identifier and password).
If you do not have your student card (you have not yet received it or it has been lost), please have your identity card or passport on hand.
Are there any documents to have on hand to present the exams remotely?
It is important to always have your identity card and student card, your UCLouvain global login and password at hand. Also print out the contact details of the IT Support in case of any problems during the exam.

Does the UCLouvain provide facilities for distance learning examinations?
No, the university no longer provides space to present an exam remotely.

What are the rules about travels, quarantine and testing?
Please refer to the info-coronavirus website.
Do not forget to inform the faculty administration of your quarantine (art. 103 of the Règlement général des études et des examens), even if you do not have a certificate. It is also a good idea to inform the teacher.
We draw your attention to the fact that a possible mandatory quarantine upon return from a trip will not be considered legitimate as long as it is not a case of force majeure, understood as an unforeseeable, irresistible event beyond the student's control (art. 103 of the Règlement général des études et des examens). It is therefore advisable to think carefully about the organisation of any travel arrangements in relation to your exam dates.
What should I do if I have symptoms of illness or am ill, for example with COVID-19?
Anyone who shows symptoms of illness MUST consult his/her doctor as soon as possible. The procedure to be followed is described in article 103 of the General Regulations on Studies and Examinations (Règlement général des études et des examens): "Any student registered for an examination who is prevented from taking one or more of them must notify the chair of the jury and the faculty administration of the reason for his or her absence without delay. No later than the day following the end of that period, he or she shall submit to the faculty administration the original of any supporting documents, i.e. a medical certificate or any other document whose evidential value is left to the sovereign judgement of the jury chairman”. It is also good practice to inform the teacher of your absence from an examination.
It should also be noted that, in accordance with article 102 of the Règlement général des études et des examens, it is forbidden to take an examination during the period covered by a medical certificate.
If you are quarantined or have a quarantine certificate, you do not take the face-to-face examinations. But you will take the exams organised remotely (with the exception of those that you would have to come and take in a UCLouvain room due to the lack of adequate computer equipment).
Report your quarantine immediately to the faculty administration by sending your quarantine certificate as soon as possible. The procedure to be followed is described in article 103 of the General Regulations for Studies and Examinations (Règlement général des études et des examens): "Any student registered for an examination who is prevented from taking one or more of them shall notify the chair of the jury and the faculty administration of the reason for his/her absence without delay. At the latest on the day following the end of that period, he/she shall hand over to the faculty administration the original of any supporting documents, i.e. a medical certificate or any other document whose evidential value is left to the sovereign judgement of the jury chairman." It is also a good idea to inform the teacher.
n application of article 103 of the General Regulations on Studies and Examinations (Règlement général des études et des examens), the chairpersons of the jury have the possibility, after evaluation of the circumstances and after consultation with the teachers concerned, to authorise you to take the exam on a new date before the end of the current session. For reasons of force majeure (article 66 of the Règlement général des études et des examens), the Chairpersons of the Examination Board may also extend a student's examination session to the following semester, without this extension exceeding a period of two and a half months after the January session.
This is not a right of the student, but a possibility left to the discretion of the examination boards, depending on the circumstances and in consultation with the teachers.
What should I do if I am ill, e.g. from COVID-19?
I consult a doctor who will draw up a medical certificate of incapacity to take the exams if necessary. As a reminder, you are not authorised to present examinations for the entire period covered by a medical certificate (Art. 102 of the General Regulations for Studies and Exams).
Do not forget to inform the president of the jury and the faculty administration of your incapacity (Art. 103 of the General Regulations for Studies and Exams) and to complete this form in the event of a positive COVID test . It is also a good idea to notify the teacher.
What attitude should I adopt if I am part of a group at risk for COVID-19?
First and foremost, take care of yourself!
If the exam is organised by distance learning (with the exception of distance learning exams which you should come to present in a room set up at UCLouvain due to lack of adequate computer equipment), you present it.
If the examination is organised in the classroom, you can obtain a medical certificate stating that you are unable to take the examination (see art. 103 of the General Regulations for Studies and Exams for the procedure to follow). As a reminder, you are not authorised to take examinations for the entire period covered by a medical certificate (Art. 102 of the General Regulations on Studies and Exams). Please do not hesitate to report any difficulties you encounter to your jury chair (Art. 155 of the General Regulations for Studies and Exams).

Are measures taken if I need medical assistance during an examination at one of the UCLouvain sites?
In the event of physical or mental problems not related to COVID-19 during an on-site examination (e.g. anxiety attacks, discomfort related to wearing a mask for several hours, etc.), please contact a supervisor and you will be taken care of as quickly as possible. The staff member will accompany you out of the examination room and ensure any follow-up, while ensuring your safety and the safety of everyone.
Can I take a distance examination if I am under a medical certificate?
NO! As a reminder: in accordance with Article 102 of the General Regulations on Studies and Exams, it is forbidden to take an examination during the period covered by a medical certificate. This also applies to examinations organised at a distance.
Can I take a face-to-face examination if I am in quarantine?
NO! As a reminder: in accordance with article 102 of the General Regulations for Studies and Exams, it is forbidden to take an exam during the period covered by a medical certificate. In the case of a quarantine certificate, it is forbidden to attend a face-to-face examination at one of the UCLouvain sites or in a room set up by UCLouvain.
Can I take a remote examination if I am in quarantine?
YES! If you are in quarantine, you must take an examination at a distance from where you live. A certificate of quarantine will not be considered as a legitimate absence for the examination in question.
I need a certificate for essential travel. Where can I get it?
If you need an essential travel document, e.g. if you are a cross-border student, you can generate a document via this application.
Other questions
What should I do if I encounter difficulties during the examination session?
If you encounter a practical difficulty, such as an absence from an examination, a problematic family or medical situation, or failure by one of the examiners to comply with the regulations applicable to the examination, you must inform the chair of your jury as soon as the difficulty arises or becomes known (art. 155 of the General Regulation for Studies and Examinations). The chair of the jury will take all necessary measures to resolve the incident in accordance with the General Regulations governing studies and examinations.
If you do not wish to take an exam ("sign your exam"), your faculty has set up a procedure to allow you to request an attendance mark, in order to avoid unnecessary travel. Please consult your faculty's website.
What to do in case of exceptional circumstances during the examination session?
If exceptional circumstances (such as an accident or the death of a close relative) have prevented you from taking an examination, the procedure described in article 103 of the General Regulations for Studies and Examinations applies: "Any student registered for examinations who is unable to attend one or more of them shall notify the chair of the jury and the faculty administration without delay of the reason for his or her absence. At the latest on the day following the end of the impediment, he or she shall provide the faculty administration with the original of any supporting documents, i.e. a medical certificate or any other document whose probative value is left to the discretion of the jury president. "Do not hesitate, in addition to sending the faculty administration the justification for your absence, to inform the teacher of your absence for an exam!
If these exceptional circumstances have disrupted your session, it is important to inform your jury president before the deliberations (see articles 136 and 155 of the General Regulations for Studies and Exams).
What is the difference between an attendance mark (0/20) and an absence mark?
If you physically attend the examination without presenting it or if you submit a blank copy under Moodle and Gradescope, you will be awarded a mark of 0/20 (attendance mark). You will have the opportunity to register for this exam at a later session.
If you are absent from an examination (you have neither submitted the examination nor requested an attendance mark), Art. 103 of the General Regulations for Studies and Examinations applies. There are two cases.
- If, no later than the day following the end of your absence, you submit to the faculty administration the original of any supporting documents (medical certificate or any other document), the chair of the selection board will have sole discretion as to their probative value.
- If he or she considers your absence to be legitimate, the word "excused" will appear on your transcript (on the virtual desk).
If your absence is not legitimate, the word "absent" will appear on your score sheet (on the virtual desk).
Please note that if you are in BAC11 and have not taken part in all the final examinations at the end of the first term, including the partial exams, you will not be able to register for the other examinations of the academic year. You must therefore submit all the assessments (partial tests and examinations) or request an attendance mark for those examinations you do not wish to take.
What is meant by "irregularity/cheating/plagiarism"?
The General Regulation for Studies and Examinations do not use the term "cheating".
The definition of irregularity and plagiarism can be found in Art. 107.
"Irregularity caused by the student" is defined as :
- Any communication between students or with third parties during the examination, regardless of the way it is organised and the method of communication used
- The mere direct or indirect, physical or electronic possession, not expressly authorised by the examiner, for the duration of the examination, of elements of the subject matter under examination, of technological means of accessing those elements, and more generally
- Failure, whether intentional or unintentional, to comply with any of the examination instructions..
"Plagiarism" is defined as follows: "The use, to whatever extent, even by means of a translation, of ideas or statements of a third party, even if paraphrased, as well as the use of graphic representations of a third party, without their source being explicitly and distinctly mentioned within the service provided by the student".
The assessment of an irregularity or plagiarism is the responsibility of the professor and the jury in accordance with the provisions of articles 107 et seq. of the General Regulations for Studies and Exams.
