Where can I find the timetables and premises for the exams?
This information will be communicated by your faculty no later than 11 December 2020. However, please consult your faculty's website regularly, as it may be modified in the event of force majeure. This also applies to students who will be taking a distance examination in a room set up by UCLouvain.
Are there any documents to have on hand to present the exams remotely?
It is important to always have your identity card and student card, your UCLouvain global login and password at hand. Also print out the contact details of the IT Support in case of any problems during the exam.
If you do not have your student card (you have not yet received it or it has been lost), please have your identity card or passport on hand.
Also, follow the instructions given by your teacher regarding the documents you can bring to the exam. Keep up to date with announcements from teachers and the university via institutional messaging and Moodle.
Are there any documents to have on hand for the face-to-face examinations?
It is important to always have your identity card and your student card on hand (and in case of an exam in a computer room: your UCLouvain global identifier and password).
If you do not have your student card (you have not yet received it or it has been lost), please have your identity card or passport on hand.
Does UCLouvain provide study facilities?
In addition to the libraries and learning centres whose access details are available on this page, UCLouvain provides study facilities, also during the two weeks of Christmas: see this page.

IT and other situations
What to do in the event of a computer problem?
If you are taking an exam remotely, see the IT support section. If you are taking a face-to-face exam, do not hesitate to call the invigilator.
If the conditions for taking the exams remotely are no longer met (e.g. a computer breakdown the day before the exam), every effort will be made to allow you to come and take your exams at the university. However, such changes will only be possible in cases of proven force majeure. In such cases, please contact your faculty as soon as possible. As a reminder, students in quarantine or under sickness certificate will not be able to come on site.
What should I do if I encounter difficulties during the examination session?
If you encounter a practical difficulty, such as an absence from an examination, a problematic family or medical situation, or failure by one of the examiners to comply with the regulations applicable to the examination, you must inform the chair of your jury as soon as the difficulty arises or becomes known (art. 155 of the General Regulation for Studies and Examinations). The chair of the jury will take all necessary measures to resolve the incident in accordance with the General Regulations governing studies and examinations.
Health
I am planning a trip abroad during the blockade. What should I pay attention to?
Some of you may be hesitating to travel abroad for more than 48 hours during the blockade. We invite you to comply with the recommendations made on the website of the Federal Public Service Foreign Affairs. In addition to the health risk that such a trip abroad could represent, we would draw your attention to the fact that upon returning from a stay abroad of more than 48 hours (red zone), you must observe a period of quarantine and get tested and that you will not necessarily obtain a certificate to cover this quarantine period. This compulsory quarantine will not be considered legitimate as long as it is not a case of force majeure, understood as an unforeseeable, irresistible event beyond the student's control (art. 103 of the General Regulations for Studies and Exams). It is therefore advisable to think carefully about the organisation of any travel arrangements in relation to your exam dates.
What are my obligations if I return from abroad?
You should know that all trips abroad are not recommended. If you nevertheless leave Belgium, you are invited to consult the website of the Federal Public Service Foreign Affairs. At the earliest 48 hours before your return to Belgium, all persons, regardless of the means of transport used, must fill in the Passenger Location Form and a self-assessment form, which you must answer honestly.
After sending the form, you will receive an sms with instructions on a mandatory quarantine and a COVID test that you are obliged to follow strictly. After 7 days of quarantine, you will have to be tested.
Until 15 January inclusive, you may break this quarantine, exceptionally, in order to present one (or more) face-to-face examination(s) (and only this (these) examination(s)). You will also be able to take examinations remotely from where you live or reside.
Do not forget to inform the faculty administration of your quarantine (art. 103 of the General Regulations for Studies and Exams), even if you do not have a certificate. It is also a good idea to inform the teacher.
ou present the examinations organised at a distance (except for those that you should come to present in a fitted room at UCLouvain due to lack of adequate computer equipment). You do not take the exams organised in person.
Do not forget to notify your quarantine immediately to the faculty administration and to send them your quarantine certificate as soon as possible (art. 103 of the General Regulations for Studies and Exams). It is also a good idea to inform the teacher.
What should I do if I am ill, e.g. from COVID-19?
I consult a doctor who will draw up a medical certificate of incapacity to take the exams if necessary. As a reminder, you are not authorised to present examinations for the entire period covered by a medical certificate (Art. 102 of the General Regulations for Studies and Exams).
Do not forget to inform the president of the jury and the faculty administration of your incapacity (Art. 103 of the General Regulations for Studies and Exams) and to complete this form in the event of a positive COVID test . It is also a good idea to notify the teacher.
What attitude should I adopt if I am part of a group at risk for COVID-19?
First and foremost, take care of yourself!
If the exam is organised by distance learning (with the exception of distance learning exams which you should come to present in a room set up at UCLouvain due to lack of adequate computer equipment), you present it.
If the examination is organised in the classroom, you can obtain a medical certificate stating that you are unable to take the examination (see art. 103 of the General Regulations for Studies and Exams for the procedure to follow). As a reminder, you are not authorised to take examinations for the entire period covered by a medical certificate (Art. 102 of the General Regulations on Studies and Exams). Please do not hesitate to report any difficulties you encounter to your jury chair (Art. 155 of the General Regulations for Studies and Exams).

Are measures taken if I need medical assistance during an examination at one of the UCLouvain sites?
In the event of physical or mental problems not related to COVID-19 during an on-site examination (e.g. anxiety attacks, discomfort related to wearing a mask for several hours, etc.), please contact a supervisor and you will be taken care of as quickly as possible. The staff member will accompany you out of the examination room and ensure any follow-up, while ensuring your safety and the safety of everyone.
What should I do if I present symptoms of VIDOC-19 during the examination session?
According to the Sciensano website (consulted on 30/11/2020), "Covid-19 is a contagious virus of the coronavirus family. It is easily transmitted from one person to another. The main symptoms are: cough, breathing difficulties, fever, aches and pains, fatigue, loss of taste and/or smell, blocked nose, sore throat, diarrhoea.
Anyone presenting one or more of these symptoms MUST stay at home and consult their doctor as soon as possible. Above all, take care of yourself! The procedure to be followed is described in article 103 of the General Regulations for Studies and Exams: "Any student registered for the exams who is unable to attend one or more of them must notify the president of the jury and the faculty administration without delay of the reason for his or her absence. At the latest on the day following the end of the impediment, he or she shall provide the faculty administration with the original of any supporting documents, i.e. a medical certificate or any other document whose probative value is left to the discretion of the jury president. »
Whenever possible, it is also a good idea to inform the teacher of his or her absence from an exam.
It should also be noted that, in accordance with Article 102 of the General Regulation on Studies and Examinations, it is forbidden to take an examination during the period covered by a medical certificate.
What should I do if I get sick or have symptoms of VIDOC-19 during an examination?
According to Sciensano website (accessed 30/11/2020), "Covid-19 is a contagious virus of the coronavirus family. It is easily transmitted from one person to another. The main symptoms are: cough, breathing difficulties, fever, aches and pains, fatigue, loss of taste and/or smell, blocked nose, sore throat, diarrhoea.
If you present one or more of these symptoms during an examination, you must immediately report it to an examination supervisor, who will take care of you in strict compliance with the rules of hygiene. He or she will follow up if necessary, while ensuring your safety and the safety of others. Contact your doctor directly, go home and take care of yourself first!
Even if the invigilator reports that you have had to leave the examination room for health reasons, you are invited to follow the procedure described in article 103 of the General Regulations for Studies and Exams: "Any student registered for the examinations who is unable to attend one or more of them shall notify the president of the jury and the faculty administration without delay of the reason for his or her absence. At the latest on the day following the end of the impediment, he or she shall provide the faculty administration with the original of any supporting documents, i.e. a medical certificate or any other document whose probative value is left to the discretion of the jury president. "As far as possible, it is also a good idea to inform the teacher of his/her absence from an examination.
It should also be noted that, in accordance with article 102 of the General Regulations for Studies and Exams, it is forbidden to take an exam during the period covered by a medical certificate.
Can I take a distance examination if I am under a medical certificate?
NO! As a reminder: in accordance with Article 102 of the General Regulations on Studies and Exams, it is forbidden to take an examination during the period covered by a medical certificate. This also applies to examinations organised at a distance.
Can I take a face-to-face examination if I am in quarantine?
NO! As a reminder: in accordance with article 102 of the General Regulations for Studies and Exams, it is forbidden to take an exam during the period covered by a medical certificate. In the case of a quarantine certificate, it is forbidden to attend a face-to-face examination at one of the UCLouvain sites or in a room set up by UCLouvain.
As an exception, until 15 January inclusive, in the case (and only in the case) of a quarantine following a trip abroad of more than 48 hours (red zone), you may break this quarantine to present one (or more) face-to-face examination(s) (and only this (these) examination(s)). You will also be able to take the exams remotely from your place of living or residence.
Can I take a remote examination if I am in quarantine?
YES! If you are in quarantine, you must take an examination at a distance from where you live. A certificate of quarantine will not be considered as a legitimate absence for the examination in question.
I need a certificate for essential travel. Where can I get it?
If you need an essential travel document, e.g. if you are a cross-border student, you can generate a document via this application.
Other questions
If you do not wish to take an exam ("sign your exam"), your faculty has set up a procedure to allow you to request an attendance mark, in order to avoid unnecessary travel. Please consult your faculty's website.
What to do in case of exceptional circumstances during the examination session?
If exceptional circumstances (such as an accident or the death of a close relative) have prevented you from taking an examination, the procedure described in article 103 of the General Regulations for Studies and Examinations applies: "Any student registered for examinations who is unable to attend one or more of them shall notify the chair of the jury and the faculty administration without delay of the reason for his or her absence. At the latest on the day following the end of the impediment, he or she shall provide the faculty administration with the original of any supporting documents, i.e. a medical certificate or any other document whose probative value is left to the discretion of the jury president. "Do not hesitate, in addition to sending the faculty administration the justification for your absence, to inform the teacher of your absence for an exam!
If these exceptional circumstances have disrupted your session, it is important to inform your jury president before the deliberations (see articles 136 and 155 of the General Regulations for Studies and Exams).
What is the difference between an attendance mark (0/20) and an absence mark?
If you physically attend the examination without presenting it or if you submit a blank copy under Moodle and Gradescope, you will be awarded a mark of 0/20 (attendance mark). You will have the opportunity to register for this exam at a later session.
If you are absent from an examination (you have neither submitted the examination nor requested an attendance mark), Art. 103 of the General Regulations for Studies and Examinations applies. There are two cases.
- If, no later than the day following the end of your absence, you submit to the faculty administration the original of any supporting documents (medical certificate or any other document), the chair of the selection board will have sole discretion as to their probative value.
- If he or she considers your absence to be legitimate, the word "excused" will appear on your transcript (on the virtual desk).
If your absence is not legitimate, the word "absent" will appear on your score sheet (on the virtual desk).
Please note that if you are in BAC11 and have not taken part in all the final examinations at the end of the first term, including the partial exams, you will not be able to register for the other examinations of the academic year. You must therefore submit all the assessments (partial tests and examinations) or request an attendance mark for those examinations you do not wish to take.
What is meant by "irregularity/cheating/plagiarism"?
The General Regulation for Studies and Examinations do not use the term "cheating".
The definition of irregularity and plagiarism can be found in Art. 107.
"Irregularity caused by the student" is defined as :
- Any communication between students or with third parties during the examination, regardless of the way it is organised and the method of communication used
- The mere direct or indirect, physical or electronic possession, not expressly authorised by the examiner, for the duration of the examination, of elements of the subject matter under examination, of technological means of accessing those elements, and more generally
- Failure, whether intentional or unintentional, to comply with any of the examination instructions..
"Plagiarism" is defined as follows: "The use, to whatever extent, even by means of a translation, of ideas or statements of a third party, even if paraphrased, as well as the use of graphic representations of a third party, without their source being explicitly and distinctly mentioned within the service provided by the student".
The assessment of an irregularity or plagiarism is the responsibility of the professor and the jury in accordance with the provisions of articles 107 et seq. of the General Regulations for Studies and Exams.
