COVID information for international students

Dear student, you have decided to study at UCLouvain. You are very welcome!

We will try to inform you as well as possible so that your arrival goes smoothly. Further information about your programme will be sent to you directly from your faculty. In any case, rest assured that UCLouvain is at your side.

N.B.: The information mentioned also concerns international researchers arriving at UCLouvain.

  • Health measures

When you arrive in Belgium, you must follow the rules in force. If you need help, send your telephone number to aide-sante@uclouvain.be. This service will call you.

As far as travelling abroad is concerned, people with a digital covid certificate can travel freely within the territory of the Member States of the European Union. This is the basic principle, but destination countries can always decide to attach related conditions. It is therefore very important to check in advance the precise travel conditions in the country of destination or transit. More information on this subject.

  • Arrival form

In order to welcome you in the best possible way, we need to have some information about your arrival conditions. We therefore ask you to complete the UCLouvain arrival form.

  • Registration with the municipality

On the Louvain-la-Neuve site, a "Special Covid" procedure has been set up with the municipal authorities for all international students. You can prepare your file and send it by e-mail to etrangers@olln.be. The final registration will take place during the appointment at the commune, which can be made after your quarantine.

The application by e-mail must include the following scanned elements: passport and visa for non-EU students, passport or national identity card for EU students, completed registration form at the commune, rental contract. Non-EU students should add proof of study funding and health care coverage valid in Belgium. Exchange students should add their registration authorisation. At the time of the visit to the commune, 2 passport size photos and 10€ are required.

On the Brussels Woluwe site, start the procedure as soon as you arrive by sending the required documents (see above) scanned to sejour.verblijf@woluwe1200.be. The neighbourhood enquiry will follow and you will then be called for your residence permit.
At the Mons site, follow the information provided by SAFI.
At the Tournai site, follow the information provided by the LOCI secretariat.
At the Brussels Saint-Gilles site, consult the site of the commune of Saint-Gilles. It is possible to make an appointment online with the Civil Status, Population and Foreigners departments via the Irisbox platform.

  • Money and banking 

As it may be difficult for you to open a bank account quickly, we strongly advise you to bring cash in euros to cover your initial set-up costs.
