Welcome Events |
To start off your exchange, you will be invited to a mandatory LSM International Welcome Day, which takes place at the beginning of the term. During this day, we give you the necessary information to finalize your courses registration and useful information to start your semester at LSM. We provide information regarding registration to courses and exams, French lessons, sports, ... Exchange students will also be invited to an LSM Welcome drink and to "Connect to your account" workshops during which we also distribute student and access cards.
The LSM International Welcome Day for the Fall term will take place in mid-September and the one for the Spring term will be held at the beginning of February.

During the LSM International Welcome Day :
- Please bring:
- For non-EU students: your Visa, passport and the proof of your health insurance coverage
- For EU students: your ID and the proof of your health insurance coverage
- You will receive:
- A student Card: this card will allow you to register at the sports centre and to get discounts at the cinema, shops, travel expenses if you are under 26 years old (train, etc.)
- An access Card: this card enables you to enter the LSM building, UCLouvain computer rooms (after 8:00 pm) and every UCLouvain library
- BDE LSM: The Student Council of LSM is a voluntary student organisation. Their mission is to help every student in our faculty. They will be pleased to welcome you upon your arrival and help you integrate yourself.
- ESN: The Erasmus Student Network section of Louvain-la-Neuve (ESN LLN) is a voluntary student organisation. Their mission is to help you make the most of your exchange in our university, town and country. They will be pleased to welcome you upon your arrival and help you with your administrative tasks.
They will also organise parties, visits, trips and other activities during your stay. To keep you updated, feel free to join their group Erasmus ESN LLN on Facebook. If you want to become a member of ESN, you can get an ESN card at their office, which will give you access to their activities, trips, parties and discounts in every city and every country where ESN exists (39 countries).
- CGEI: The International Student Coordination Team will gladly help you during your stay. Don't hesitate to contact the CGEI team by facebook, email, or by phone (+32(0).10.45.54.34) for any questions regarding your stay in Belgium (not related to your courses).
Two important things to know before your arrival :
- The BDE LSM offers a BDE buddy system, so if you would like to have a local LSM student as a buddy who would help you during your stay, you can contact them by e-mail.
- ESN also offers a pick-up service at the train station of Louvain-la-Neuve and a buddy system. If you would like to be welcomed at the station when you arrive and/or of you would like to have a local student as a buddy who would help you during your stay, you can register through this website.
- Your student room has most probably no beddings, no dishes, etc. No worries, ESN LLN has its own second-hand shop where you can buy useful items (at their office). You also have the possibility to rent a bedding kit. For more information or questions, do not hesitate to contact them by Facebook or at esn.lln@gmail.com.
At the beginning of the semester, the ILV Language School organizes information sessions for the French language courses (beginner and intermediate levels). They also have a placement test to find the courses fitting your needs.

- Proof of a fellowship or financial statement (Annex 32)

How to start your academic stay at UCLouvain |
- Contact the UCLouvain Housing Service at Rue de la Gare, 6 in Louvain-la-Neuve (or private real estate agencies/owners) in order to secure your accommodation (sign your contract, get your key).

- Register at the City Hall (Commune) of Ottignies/Louvain-la-Neuve, Voie des Hennuyers, 1 in Louvain-la-Neuve (near the train station).
You must present yourself within 8 days of your arrival and make sure you have :
- Your signed housing contract;
- Your UCLouvain "Autorisation d'inscription" (only available to students doing an exchange during the Fall semester and during all academic year);
- Your UCLouvain "Notice of registration and invoice" that you will find on "MyUCL" (only for students doing an exchange during the Spring semester);
- Your UCLouvain Proof of Registration that you will find on "MyUCL";
- Your Student visa (APS long-term Visa) and Passport;
- 2 identical ID pictures (hard-copy passport-size photos with facial recognition, white background, and no smile/no teeth);
- Proof of a fellowship or financial statement (Annex 32);
- 5 € for file administrative costs.
Opening hours for registration are:
Monday from 12:30 pm to 7:00 pm & Tuesday to Friday from 8:30 am to 12:30 pm
- Contact the UCLouvain Housing Service at Rue de la Gare, 6 in Louvain-la-Neuve (or the private real estate agencies/owners) in order to secure your accommodation (signed your contract, get your key).

- Register at the City Hall (Commune) of Ottignies/Louvain-la-Neuve, Voie des Hennuyers, 1 in Louvain-la-Neuve (near the train station).
It is recommended that you present yourself at the City Hall but make sure you arrive with a complete file:
- Your signed housing contract;
- Your UCLouvain "Notice of registration and invoice" that you will find on "MyUCL";
- Your UCLouvain Proof of Registration that you will find on "MyUCL";
- Your passport or ID card;
- 2 identical ID pictures (hard-copy passport-size photos with facial recognition, white background, and no smile/no teeth);
- Proof of health insurance valid for Belgium (private insurance, European or Belgian "mutuelle");
- 5 € for file administrative costs.
